// Party & Event Rental

Party & Event Rental,
Running Itself.

FieldTracer is the AI Harness for field operations — built for the shop that rents tents, inflatables, tables, chairs, and dance floors. From the moment a booking lands to the moment the last chair gets stacked on the truck, the Harness keeps every asset, every crew member, and every deadline in sync. No clipboards. No frantic morning calls. Harness your operation.

// The Real Problem

Your operation is one Saturday away from a disaster.
FieldTracer is the fix.

Three things kill party rental businesses: double-booked units, a crew showing up without the right blower for the inflatable, and a 40-stop Saturday routed like a scavenger hunt. The Harness kills all three before 6 a.m.

Double-booked units on a Saturday morning

Two orders, one bounce house, two furious customers. FieldTracer tracks every unit's condition state — Available, Needs Cleaning, In Transit, Out of Service — so booking is gated against what is actually on the floor, not what someone thinks is on the floor.

// Pain Point 02

Last-minute bookings with no time to prep

Lead times have shrunk to hours. The Harness auto-generates a pull sheet the moment an order confirms — warehouse bin location, setup crew size, blower HP, surface restrictions — so your team is staged and loaded before the order even hits the whiteboard.

// Pain Point 03

Routing 40 stops across town like a scavenger hunt

FieldTracer's dispatch engine groups stops by delivery date, setup duration, and crew requirement so your trucks run a tight sequence — not criss-crossing the county. A driver with a 1.5-hour tent setup does not get a next stop 25 miles the wrong way.

// How It Works

From booking to breakdown,
the Harness handles every handoff.

You tell FieldTracer what you rent, how you price it, and how your crew works. After that the Harness runs the back-office — the part that never clocks out.

01

Asset catalog, exactly as your warehouse knows it

Every unit lives in the catalog with its category (inflatable, tent, tables, staging, dance floor, linen), dimensions note, warehouse bin, fabric material, replacement cost, and damage-waiver eligibility. The warehouse team pulls by bin. The driver loads by manifest. Nothing gets guessed.

02

Compliance gates before dispatch — not after an incident

Inflatables carry ASTM F2374 certification status, cert expiry date, last inspection date, and next inspection due. FieldTracer warns 30 days out and blocks dispatch on any unit whose cert is expired or whose condition state is not Available. Your crew never loads a unit that should not leave the shop.

03

Dispatch sheets your field techs can actually use

Each stop prints the setup crew size, setup duration, anchor point count, allowed surface types, max wind speed limit, and power requirements (GFCI outlet needed or not). The field tech shows up knowing exactly what they need — the way you would brief them yourself before they walked out the door.

04

Bill on the rate type that matches each item

Per-day, per-event, or per-week — each item carries its default billing cadence. The Harness generates invoices automatically at pickup confirmation. No hand-keyed spreadsheets. No missed damage charges. Damage waivers apply where eligible; high-value items bill at replacement cost.

// For Every Role in Your Shop

One harness. Three teams
all on the same page.

Party rental runs on coordination. The Harness gives the front desk, the warehouse, and the drivers a shared view — no phone tag, no whiteboards that go stale by 9 a.m.

// Front Desk & Ops

Book it, price it, confirm it — in under two minutes

Search available units by category and delivery date. The system checks condition state before it lets you book. Rate type defaults from the catalog — per-event for the bounce house, per-day for the tent package. Untrained seasonal staff can take an order correctly the first time.

// Warehouse

Pull sheet by bin, not by memory

The warehouse pull sheet groups items by storage location — Bay 3B before Bay 7A. After return the team logs condition state (Needs Cleaning, Needs Repair, Available) and the unit drops off the bookable list until it is cleared. No one double-counts linen sets or hunts for the missing blower.

// Drivers & Field Techs

The dispatcher that never sleeps built your route last night

Stops are sequenced by delivery time window, setup duration, and crew requirement. The mobile manifest shows anchor point counts, surface restrictions, and wind speed limits for every inflatable on the run. Sign-off at setup, sign-off at pickup — timestamps captured, disputes closed.

// Owners & Managers

Utilization, compliance, and cash — one dashboard

See which units are earning, which are sitting in Needs Repair, and which certifications expire in the next 30 days. Billing closes automatically at pickup. You spend Friday reviewing numbers, not chasing them.

// See It Live

without a single scramble.

Walk through a real Party Rental setup — live asset catalog, compliance gates, dispatch manifest, and auto-billing — in 30 minutes. Bring your messiest Saturday scenario. We will show you how the Harness handles it.
