// Equipment Rental

Your fleet, scheduled, dispatched,
billed — without the back-and-forth.

Heavy equipment and tool rental runs on precise coordination: the right unit, prepped and certified, loaded on the right truck, invoiced down to the fuel delta. FieldTracer is the AI Harness that wraps around your operation so a new dispatcher runs it like a veteran on day one. Harness your operation.

// The Problem

Three things that drain every equipment yard.

You already know the feeling. A unit goes out under-documented, comes back short on fuel, and somehow nothing gets billed. FieldTracer closes each of those gaps — automatically.

// Pain Point 01

Double bookings destroy trust — and a day's revenue

Scheduling conflicts are the number-one complaint in equipment rental. When the same excavator is promised to two jobsites, someone gets a call they dread making. FieldTracer keeps a single live availability board — every unit, every time window — so conflicts never get confirmed in the first place.

// Pain Point 02

Revenue leaks you don't see until month-end

Nearly half of rental businesses flag missed billing as their top revenue leak. Fuel delta charges, damage deposit holds, extra rental hours, haul-truck fees — FieldTracer records fuel level out and fuel level in on every unit, computes the delta, and drops the charge on the invoice automatically. Nothing falls through.

// Pain Point 03

Compliance gaps that end up in an OSHA report

Aerial lifts and cranes require operator certification. ROPS/FOPS inspections expire. Load-test certs lapse. FieldTracer blocks dispatch on any unit whose safety cert expiry date has passed — and flags when an assigned operator's certification class doesn't match the equipment. No checkbox to remember; the Harness enforces it.

// Capabilities

Everything your back office should track —
tracked automatically.

FieldTracer connects your yard, your drivers, and your billing into one Harness. Here is what it actually does for an equipment rental operation — the way you'd explain it to a new yard manager.

01

Asset intake & yard readiness

Every unit — generator, forklift, crane, scaffold — gets a record with its make, model, serial number, rated load capacity, operating weight, and current attachment. Condition rating drives yard visibility: an "Out of Service" unit disappears from the dispatch board until it's cleared. Haul-truck requirement auto-adds a transport line to the dispatch order so logistics never get missed.

02

Hour-meter PM tracking — no spreadsheet required

Dispatch records the hour meter reading on the way out. Return records it on the way back in. FieldTracer computes actual rental hours billed and updates the lifetime meter in the same step. When that running total approaches the next PM due threshold, the unit is flagged automatically — amber on the board, not a missed service at 3,000 hours.

03

Compliance enforcement before wheels roll

Safety cert expiry date, ROPS/FOPS status, and operator certification class are checked at dispatch — every time. If the JLG's annual load-test cert expired last week, it doesn't leave the yard. If the operator isn't credentialed for crane work, the assignment is blocked. Your crew doesn't need to remember; the Harness does.

04

Fuel delta & damage billing — closed automatically

Fuel level out and fuel level in are captured on every cycle. A diesel generator that went out full and came back at a quarter tank generates a refueling charge before the return is even processed. Damage deposits are held at rental start, released at inspection sign-off, or applied against any damage rating below "Good". Invoice line, no phone call.

05

Routines that keep the fleet utilization honest

Recurring Routines check scheduled maintenance dates, pull telematics fault codes, and surface any unit with a geofence violation — equipment operating outside the authorized jobsite triggers an alert to the dispatcher, not a surprise on the next inspection. Fleet-wide utilization data rolls into your dashboard so you see idle assets before they become a quarterly problem.

// How it fits together

The back-office that never clocks out.

FieldTracer isn't another portal your crew has to remember to log into. The AI Harness runs in the background — watching PM intervals, checking cert dates, computing fuel charges, routing drivers — and surfaces the one thing that needs a human decision right now. Tell it what you need the way you'd tell your dispatcher; the Harness figures out the rest.

// Dispatch

Right unit, right truck, right operator

FieldTracer matches the job requirements — equipment type, load capacity, fuel type, haul-truck flag, operator cert required — against available yard inventory and qualified drivers. No calls around the yard to find out who's certified for aerial lift work.

// Billing

Day / week / month — all rated automatically

Rate period is set per unit. Rental hours from the hour-meter delta feed the billing engine directly. Extra charges — fuel, damage, haul-truck, damage deposit application — are appended to the invoice without a separate step. Export or print; your accounting team sees a clean, itemized record.
